Design and Implementation of Data Archiving System for Radiotherapy Treatment Plans

Purpose: To design and implement a plan data archiving System (PDAS) for radiotherapy treatment, improve the efficiency of plan archiving and avoid plan data loss.


Methods: PDAS consist of several different computer technologies, including relational database, dynamic HTML, file parsing, and data interfaces. Implemented in Philips PINNACLE treatment planning system (TPS) scripts and JAVA, the original plan file in the treatment planning system (TPS) was read and parsed, and the record and verification (R&V) system database was accessed to obtain the patient's treatment record. There were two major modules in the system, including the plan archiving module and the plan loss detection module, of which the former could be divided into four parts: data arrangement, data compression, archiving check and plan recovery. For the different modules, the corresponding logic rules were designed, and the program was written to realize the system. Compared with the plan data of manual archiving, the clinical application effect of PDAS was evaluated.


Results: Each module of PDAS was developed and implemented. In the 2 years and 7 months clinical application,the system was stable, and 17614 plans were archived. Compared with manual archiving, PDAS improved the archiving efficiency significantly, and the plan loss rate was reduced from ~0.4% to 0.


Conclusion: PDAS, an automatic plan data archiving solution, was presented in this work. It automatically accessed patient data from TPS and R&V system and designed the logical discrepancies to check archiving plan files. As automated checking software, it greatly reduced the boring one-to-one data correspondence checks. The concept of PDAS included not only the applications which automate the plan file checks but also the workflow that ensured that the plan data archiving process was done correctly. PDAS can improve the efficiency of plan archiving and ensure the security and integrity of plan data.
